Sending an Email CampaignThere are 2 options when sending an email campaign, send it immediately, or, schedule it for a specific time in the future. Step 1: Select a CampaignClick on the "Email Campaigns" button in the main menu. This will provide you with a list of all your active campaigns. (For more information on how to create a campaign click here.) Select the appropriate campaign by clicking the "send" link in the "action" column on the right.
Step 2: Select a ListSelect the list(s) you would like to send this campaign out to. You can select multiple lists by using ctrl + left-click. (You can similarly unselect lists by using ctrl + left-click.) Click "Next".
Step 3: Filter Your ListThis screen gives you the option to filter the criteria of the selected lists. If you want to send only to people who have hotmail addresses you could enter "@hotmail.com" in the "Email Address" field. There are a number of other options available to you based on the history of your lists and any custom fields you may have been setup with. In general, however, most people will simply click "Next". This will include all users who are marked as active.
Step 4: Sending OptionsYou now have a number of options you can add and/or edit before sending your email campaign. Send Immediately: If selected this will allow you to send your email campaign at the next scheduled send interval. If un-selected this will allow you to schedule the campaign at some time in the future. Select the time and date you would like your campaign to be sent. Please note that the "Scheduled Sending System" process is in 5 minute increments, so your exact start time may vary by up to 5 minutes. (See below for more about the "Scheduled Sending System" process.) Notify Owner: If selected this will send an email to the administrator of the account letting them know when the sending process has started and finished. Send Email Campaign: This allows you to change which campaign you are sending. Send From Name: This will populate the "From" field when a subscriber receives the email. Send From Email: This will populate the email address associated with the "From" field when a subscriber receives the email. (This is not the same as the "Reply-To Email") Reply-To-Email: If a subscriber wants to "reply" to your newsletter this is the email address that the reply will be sent to. Bounce Email: This is where all bounced emails will be sent to. It is our recommendation that this be a separate email address dedicated to receiving bounce backs. (Ie. bounce@mydomain.com) Learn more in the section: Understanding and Processing Bounce Backs. Send Multipart: Sending a multipart email will let the subscribers email program decide what format (HTML or Text) to display the email in. Track Email Opens: Track opening of emails when a subscriber receives an email. This only applies to HTML campaigns. Track Links: Track all link clicks in this email. After the email is sent you can view link click details from the statistics page. Embed Images: This will embed the images from the content onsite the email the subscribers receive. This may make the email significantly larger but will allow subscribers to view the content offline. Step 5: Send the CampaignYou can now send your email campaign by clicking on the button "Yes, send this email campaign". Step 6: Manage Scheduling - NEW!This is a new feature of WebPal EMS. Email campaigns are now sent via a "Scheduled Sending System" process (Referred to as CRON). This operation runs every five minutes, and in contrast to the previous system, sends in the background. What does this mean? It means you can log out of WebPal EMS, you can lose your internet connection, or you can turn off your computer altogether and your Email Campaign will still be sent without interruption. Email campaigns are now sent via a server process and are no longer dependent on you, the administrator. Once the mailing has been completed, an email will be sent to the account administrator to confirm completion. (Assuming you enabled this option, as mentioned above.) How do I check on the sending status? Simply log in to WebPal EMS and select the "Email Scheduling" option from the "Email Campaigns" menu. This will provide you with a list of campaigns, when they are scheduled to be sent, as well as their current status if they are already in progress. Use the "refresh" link to the right of "status" to update the "status" in real time.
